Terms & Conditions and Rules of Use at Sowing Seeds Wellbeing CIC.

At Sowing Seeds Wellbeing CIC, all our sensory rooms have been carefully designed and installed with safety as a priority. Some areas may include soft play and activity equipment, and while every effort is made to ensure safety, accidents may occasionally occur. We cannot accept responsibility for any injury, loss, or damage to personal belongings, including clothing, while using these spaces.

Parental or carer supervision is required at all times for babies, toddlers, children, and anyone needing additional support, as staff cannot assume this responsibility.

Food & Drink

Please note that we do not provide food or catering facilities on site. Visitors are welcome to bring their own food, which should only be consumed within the Flow room.

Nut-Free Zone

For the safety of all our visitors, Sowing Seeds Wellbeing CIC is a nut-free environment. Please do not bring any nuts or products containing nuts into the sensory or activity rooms. Thank you for helping us keep everyone safe.

Preparation for Adulthood Room

Users must not be left unattended in the Preparation for Adulthood Room unless this has been pre-arranged or forms part of a supervised training session.

The hob must remain switched off at all times unless it is being used as part of a supervised activity. Individuals are not permitted to operate any equipment unless instructed and supervised during an authorised session.

The washing machine door must be left slightly open when not in use to help prevent the build-up of mould.

The iron and ironing board must not be left out when not in use. The iron must be unplugged after use and allowed to cool in a safe and suitable place before being stored away.

The room must be left clean and tidy following all sessions, and any damage or faults must be reported to a member of staff immediately.

Users are asked to be mindful that other areas of the centre, including sensory rooms, may be in use at the same time and to behave considerately towards others.

Under 5 ‘s Sensory

This session is for children 0-5 years old and is an open session to move between the Grow Room, Flow Room and Glow Room with others in the centre with you.

All children attending this session must be within the age restrictions or may be refused entry. This session is £7 for the first child and £5 for additional siblings still within the age restrictions, parents/carers are free and you can have up to 2 adults for your booking.

Please Note Children remain the responsibility of parents/carers and must be supervised at all times.

Parent/ Carer Support Group

The Parent & Carer Support Group at Sowing Seeds Wellbeing CIC provides a safe and supportive space for adults to connect, share experiences, and access wellbeing support.

This group is intended for parents and carers only. Please note that children are not permitted to attend these sessions.

Session fee £5 per parent/carer must be paid in advance to secure your place. The cost of attendance includes entry to the session and complimentary tea and coffee / refreshments.

If you are unable to attend, please inform us as soon as possible so your space may be offered to another participant. Refunds or transfers may be offered at management discretion.

We ask all attendees to respect the privacy, experiences, and confidentiality of others within the group. Sowing Seeds Wellbeing CIC promotes a welcoming, inclusive, and non-judgemental environment, and respectful behaviour is expected at all times.

The support group offers peer and wellbeing support but does not replace professional medical, therapeutic, or crisis services. Participants attend at their own discretion and responsibility.

Youth Club’s

Youths Club’s at Sowing Seeds Wellbeing CIC provides a safe, inclusive, and supportive environment for social interaction, learning, and recreation.

Participants must be registered prior to attending sessions. Parents, carers, or support staff remain responsible for individuals in their care where required.

All participants are expected to treat staff and fellow players with respect at all times. Bullying, discrimination, disruptive behaviour, or inappropriate language will not be tolerated and may result in removal from the session and/or future bookings being refused.

Participants are encouraged to engage positively, follow game rules, and respect shared equipment, game materials, and the space being used. Instructions provided by session facilitators must be followed to ensure sessions run safely and fairly.

All games, boards, dice, books, and equipment must be handled with care and returned after use. Sowing Seeds Wellbeing CIC reserves the right to charge for deliberate or careless damage caused by participants.

These sessions are recreational and social activities and do not replace professional therapeutic or support services. Participants attend at their own discretion.

If you are unable to attend a booked session, please inform us as soon as possible so spaces can be offered to others.

Outdoor Space & Sensory Wellbeing Garden

The outdoor space and sensory wellbeing garden at Sowing Seeds Wellbeing CIC are provided to promote relaxation, wellbeing, and inclusive outdoor activities. All users are asked to follow the guidelines below to ensure a safe and enjoyable environment for everyone.

Children and individuals requiring additional support must be supervised at all times by a parent, carer, or responsible adult. Staff are not responsible for supervision unless this forms part of a pre-arranged session.

Visitors are asked to treat the garden, plants, sensory features, furniture, and equipment with care. Plants, decorations, or garden features must not be removed or damaged.

Any outdoor equipment or sensory items must be used appropriately and for their intended purpose. Climbing on structures or using equipment in an unsafe manner is not permitted.

Users should take care when surfaces are wet or uneven. Appropriate footwear is recommended. Use of the outdoor space is at the visitor’s own risk.

Any food brought into the outdoor space must follow Sowing Seeds Wellbeing CIC policies, including maintaining a nut-free environment where applicable. All litter and waste must be removed or placed in the appropriate bins.

The outdoor area may be used by multiple groups at the same time. Visitors are asked to be respectful of others and help maintain a calm and inclusive environment.

Any accidents, injuries, damage, or maintenance concerns must be reported to a member of staff immediately. Sowing Seeds Wellbeing CIC reserves the right to charge for deliberate or malicious damage caused by individuals or groups.

The outdoor space must be left clean and tidy after use, with furniture returned to its original position where applicable.

Small Animal Therapy & Interactions with Animals

Sowing Seeds Wellbeing CIC provides animal-assisted therapy sessions and opportunities to interact with our guinea pigs to promote wellbeing, engagement, and learning. All visitors must adhere to the following guidelines to ensure a safe and positive experience for both participants and animals.

Children and individuals requiring additional support must be supervised at all times by a parent, carer, or responsible adult. Staff supervision does not replace the responsibility of parents or carers.

Visitors must wash or sanitise their hands before and after interacting with the animals. Anyone who is unwell, has open wounds, or is allergic to animals should avoid direct contact.

Animals must be handled gently and with care at all times. Rough handling, chasing, or teasing the guinea pigs is strictly prohibited. Staff will demonstrate correct handling techniques and must be followed.

The wellbeing of the animals is our priority. If an animal shows signs of stress, discomfort, or illness, interactions may be paused or ended. Visitors must follow staff instructions at all times.

No food or treats may be given to the animals unless authorised and provided by Sowing Seeds Wellbeing CIC staff.

Any aggressive, unsafe, or disruptive behaviour towards staff, animals, or other visitors will not be tolerated. Staff reserve the right to end sessions or refuse future participation where behaviour is inappropriate.

Any injuries, bites, scratches, or concerns regarding the animals or other visitors must be reported to a member of staff immediately.

While every precaution is taken to ensure safety, participants interact with animals at their own risk. Sowing Seeds Wellbeing CIC cannot accept responsibility for minor injuries, allergies, or accidents resulting from interactions with the animals.

Birthday Parties

All general terms and conditions for hire of the full Sowing Seeds Wellbeing CIC centre apply to birthday party bookings.

A 50% non-refundable deposit is required to secure your party booking. Please note that your party date cannot be confirmed or held without receipt of this deposit.

The final balance and confirmed guest numbers must be provided no later than 14 days prior to your party date. Failure to do so may result in cancellation of your booking unless alternative arrangements have been agreed in advance with management.

If you choose to provide your own decorations or food, the Flow room must be returned to its original condition. This includes removing all decorations, clearing food items, and taking all rubbish away from the premises at the end of the party.

Please note the use of Sellotape for decorations is not permitted.

General

  1. All babies, children and anyone who requires additional support must always be accompanied by a responsible adult over the age of 18 years and supervised at all times. Sowing Seeds Wellbeing CIC do not accept responsibility for the supervision for anyone unless arrangement has been made and agreed prior to any attendance with Senior Management.
  2. Footwear is not to be worn throughout the centre and is to be removed on entry. Exceptions can be made for those with specific needs around mobility.
  3. Mobile hoists are made available to be used by those who are fully trained in the use of a mobile hoist. Sowing Seeds Wellbeing CIC recommends that a minimum of two people are used when using the hoists. Sowing Seeds Wellbeing CIC carry out regular checks on the hoists and they are maintained and serviced in line with our health and safety policy. Sowing Seeds Wellbeing CIC cannot be held responsible for any injuries caused to any persons through misuse of the hoists.
  4. Hoist slings are made available, however Sowing Seeds Wellbeing CIC recommend bringing the users own sling to be used. All slings in the centre are kept in good condition and checked daily. It is the users responsibility to check all slings and hoists are in working order before use.
  5. NO food is to be taken into the Grow or Glow rooms. Only drinks in a suitable cup with a lid are permitted in these rooms.
  6. It is forbidden to smoke, vape or use any form of electronic cigarette within the centre.
  7. We cannot take any responsibility for any lost or stolen items inside the centre or in the car park area.
  8. Any property that is found will be kept for 4 weeks, after this time Sowing Seeds Wellbeing CIC have the right to donate it to charity if uncollected. We will ensure all reasonable efforts are made to reunite property with their owner.
  9. Cars parked within the car park and surrounding local area are done so at owners own risk.
  10. Sowing Seeds Wellbeing CIC is committed to providing a safe, welcoming, and respectful environment for staff, visitors, and all centre users.
  11. Any form of fighting, bullying, verbal abuse, aggression, or behaviour deemed unacceptable towards Sowing Seeds Wellbeing CIC staff, visitors, or other users of the centre will not be tolerated under any circumstances. Anyone displaying such behaviour will be asked to leave the premises immediately. Management reserves the right to refuse future bookings or entry to the centre, and where necessary, a full ban may be implemented.
    We ask all visitors to report any inappropriate or concerning behaviour to a member of staff as soon as possible so that the situation can be addressed promptly.
  12. Anyone who is feeling unwell is asked to not attend their session and it will be reschedule for a later date when you are well. We ask that anyone who has experienced sickness or diarrhoea in the last 48 hours to not visit the centre.
  13. Parents, guardians, and carers retain full responsibility for those in their care and must adhere to all Sowing Seeds Wellbeing CIC policies. It is their responsibility to ensure that all members of their group are made aware of these terms and conditions and that they are followed at all times.
  14. All accidents and injuries must be reported to a staff member immediately so that appropriate assistance can be provided. Each incident will be reviewed to help prevent future occurrences and will be documented and managed in accordance with Sowing Seeds Wellbeing CIC policies.
  15. Please notify any spillages to a Sowing Seeds Wellbeing CIC staff member to be cleaned up immediately.
  16. Sowing Seeds Wellbeing CIC reserves the right to charge for any deliberate or malicious damage to equipment caused by you or members of your group.
  17. We require a minimum of 48hours notice of cancellation of a session for a full refund to be issued.
  18. All session bookings are confirmed on receipt of payment.
  19. Availability for sessions cannot be guaranteed without prior booking.
  20. All prices are subject to change at any time.
  21. If for any reason the centre needs to be closed by Sowing Seeds Wellbeing CIC, full refunds will be given or an option of a credit note will be offered.
  22. If the centre is to close due to local or government restrictions that are enforced than full refunds will be given, or an option of a credit note will be offered.
  23. We do not store credit card details.
  24. If you have previously agreed to us using your personal information for direct marketing purposes, you may change your mind at any time by emailing us at hello@sowingseedswellbeing.co.uk
  25. We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so.

  27. All credit card details are entered on a secure page and are transferred using the SSL encryption method.
  28. CCTV is in operation in areas within and outside the building.
  29. Invoices are available for care providers, schools, charities, and similar organisations. Full payment of the invoice is required to confirm your sessions. – Unless alternative arrangements have been agreed in advance with management, failure to pay an invoice by the due date may result in the cancellation of your bookings.

Supporting Families in our Community

Our welcoming, flexible centre is available to hire for one-off or regular events, with four bright, spacious rooms and additional equipment to suit your needs. From a fully equipped sensory space to an open room for yoga, fitness, or creative sessions, we’ll prepare the space to work for you.

The centre is primarilly home to Sowing Seeds Wellbeing, supporting individuals with SEND, their families, and the wider community through inclusive spaces that nurture positive mental health, wellbeing, and connection.
